The Booking Procedure
By booking studio and/or equipment hire with us, you automatically agree to the terms and conditions set out below.
Any studio booking is to be made via our online booking diary system.
This document forms the terms and conditions of hire of studio space by the Hirer (you) at Studio 8/Atlas Photography (we/us). The hire of studio space under these terms and conditions does not create any affiliation or partnership between you and Studio 8/Atlas Photography and Studio 8/Atlas Photography takes no responsibility for and does not endorse the content of activities which you carry out in its studios.
By confirming the booking on our online booking system or via an email confirmation you, the Hirer, acknowledge and confirm that you have understood and agreed to comply with the terms and conditions contained within this document. Please note that completing a booking form does not automatically mean that the booking has been confirmed.
Studio 8 / Atlas Photography may terminate any hire contract if the Hirer is in breach of any of the Terms and Conditions.
Set Up and Take down time
The Hirer must include set up and take down time within the hours booked, to avoid overtime charges. Rates are calculated by the hour. Any overrun on allocated hire times are charged in 15 minute increments.
No cancellation fee applies for cancellations made 10 or more days in advance. Please contact us to rebook or for a refund.
For cancellations made less than 10 days in advance, or in case of no-show you will forfeit your deposit.
Footwear: Photographers are not permitted to wear any outdoor footwear in the infinity cove unless over shoes are worn. These are supplied free of charge by the studio. Any footwear worn by models during a shoot must be clean and any damage/marks caused to the studio floor must be rectified by the hirer before their hire session is finished. Failure to do so will lead to a repainting fee being charged.
Studio 8 / Atlas Photography accepts no responsibility for any loss or damage occasioned to the Hirer’s property or that used by the Hirer during the Hire Period. It is the Hirer’s responsibility to keep the Studio secure during the Hire Period.
The Hirer is responsible for any loss or damage occasioned to the Studio, the Equipment or any other property used by the Hirer during the Hire Period and shall, at its own expense obtain and maintain during the Hire Period appropriate insurance cover including against theft or accident, personal injury and any third party or public liability risks or loss of whatever nature and however arising in connection with the use of the Studio and the Equipment and such other cover as may be required by law or as Studio 8 / Atlas Photography may from time to time consider reasonably necessary and advise to the Hirer.
It is the Hirer’s responsibility to leave the Studio clear and in the same condition as at the outset of the hire. Any loss or costs incurred by Studio 8 / Atlas Photography as a result of the Hirer’s failure to do so will be charged to the Hirer. Until the Studio is cleared and returned to its original condition, it shall be deemed as on hire and the Hirer will be charged for this time. A clean-up fee of £30 is applicable for all bookings that fail to reset the studio.
All equipment and property of the Hirer and any rubbish must be removed by the end of the Hire Period. Any items left in the Studio without specific arrangement with Studio 8 / Atlas Photography may be disposed of by Studio 8 / Atlas Photography in its discretion and the Hirer will be charged for its disposal.
Any request for the painting of the Studio must be made and agreed by Studio 8 / Atlas Photography prior to the commencement of the Hire Period. Whilst the Studios are not always freshly painted before each hire they will be cleaned prior to commencement and in a suitable hireable condition. It is the Hirer’s responsibility to ensure the Studio is the appropriate colour for their requirements.
The cove will not always be freshly painted/spotless at the start of bookings but Hirers can request for the cove floor to be painted prior to bookings for £80. Any marks, spillages or damage caused by the Hirer to the Studio during the hire period shall be remedied by the Hirer before the end of the Hire Period, failing which Studio 8 / Atlas Photography reserves the right to charge for the cost of any repair/remedial work including, if necessary, a full repaint of the Studio. This charge is applicable if the cove is excessively marked and not left in reusable condition (mopping of the floor is normally sufficient when not excessively marked and we can supply a mop). Our rate for re-painting of the entire cove to white is £180.
We cannot guarantee listed backdrops or equipment will be in stock. To guarantee, please notify us of any preferences before and we make sure these are available.
Any hire involving photography and video footage must be agreed at the time of booking as different rates may apply. This will be charged according to the information you provide on the Booking Form, please contact us at email@example.com for more information.
Use of Equipment
Studio users can plug in their own MP3 player, laptop or camera, but they are advised to bring their own device-specific cables. The infinity cove studio also has a projector.
Please note that the equipment must not be moved around the room without permission and objects should not be kept on top of the cabinet (especially any liquids).
The infinity cove is suitable for dance and movement practices. Should you require any extra equipment (i.e. chairs and tables), this must be stated at time of booking. We have some tables and chairs which Hirers are welcome to use, but these are considered extras not part of the booking and you would be responsible for locating these items and putting them back to their original places.
The building is equipped with Wi-Fi signal and this is accessible through a guest account. Please note this is a free service which is not set up for the purpose of live streaming and there are no guarantees from our part as to its speed and reliability.
Any equipment should be compliant with current guidance & legislation. All electrical items must be PAT tested and flammable objects must be treated with fireproof spray. Hirers are required to have a list of all equipment in use and relevant supporting documentation.
Consumable Colorama paper backdrops are provided for the Hirer’s use. Any damaged paper will be charged at £8.99 per metre.
Health & Safety, Best Practice and Public Liability Insurance
You are responsible for ensuring your session is run in line with current health and safety legislation and best practice guidelines. Studio 8 / Atlas Photography takes no responsibility for the content or health and safety of the Hirer.
The first aid kit and accident book will be made available on request.
All Hirers must tell us in advance if they are expecting any wheelchair users. The infinity cove (ground floor studio) is fully accessible.
Studio 8 / Atlas Photography insurance will only cover defects with the building. We are not liable for and cannot cover loss of your personal property.
Hirers need to have their own insurance to cover any situation involving loss or injury to a member of the public as a result of their own activities.
If a session involves participants who are under the age of 18 or classed as vulnerable adults the Hirer is responsible for ensuring that the relevant DBS checks have been obtained.
Studio 8 / Atlas Photography has a limited number of parking spaces directly outside the Studio and is unable to guarantee the availability of spaces for any specific time or day. It is the Hirer’s responsibility to ensure that adequate parking/transport arrangements are made in respect of any personnel attending Studio 8 / Atlas Photography premises during the Hire Period. Please notify us prior to your arrival as extra spaces can be arranged.
Any parking Studio 8 / Atlas Photography’s premises is at the user’s own risk and Studio 8 / Atlas Photography accepts no responsibility for theft, damage or any other loss occasioned to vehicles parked on its premises.
The studios are fitted with CCTV. Images are solely recorded of the purposes of crime prevention and may also be used and saved to claim for any damages incurred during the booking.
For the purposes of this Contract, Force Majeure Event means an event beyond the reasonable control of Studio 8 / Atlas Photography including but not limited to strikes, lock-outs or other industrial disputes (whether involving the workforce of Studio 8 / Atlas Photography or any other party), failure of a utility service or transport network, act of God, war, riot, civil commotion, malicious damage, compliance with any law or governmental order, rule, regulation or direction, accident, breakdown of plant or machinery, fire, flood, storm or default of suppliers or subcontractors.
Studio 8 / Atlas Photography shall not be liable to the Hirer as a result of any delay or failure to perform its obligations under this Contract as a result of a Force Majeure Event.
If the Force Majeure Event prevents Studio 8 / Atlas Photography from providing the Studio for more than 2 weeks, Studio 8 / Atlas Photography shall, without limiting its other rights or remedies, have the right to terminate this Contract immediately by giving written notice to the Hirer.
